  1. Project governance and the role of AI
    Project governance defines how decisions are made, how oversight is maintained and how accountability is structured. Poor governance can delay approvals and allow risks to grow unnoticed, increasing the chance of cost or time overruns (Araya Aliaga, Mariani and Mancini, 2025). AI can strengthen governance by providing near‑real‑time insights and early alerts for schedule deviations, supporting escalation and stakeholder alignment, while decisions remain human‑led for fairness and accountability (Araya Aliaga, Mariani and Mancini, 2025; Geraldi et al., 2024).
  2. Gantt charts and AI‑enhanced schedule monitoring
    Gantt charts remain a core tool to visualise tasks, sequencing and progress. AI improves this monitoring by comparing planned and actual performance, updating dependencies and highlighting variances more quickly than manual methods (Salimimoghadam et al., 2025). Nevertheless, studies show AI can misinterpret sequencing logic if inputs are unclear, so human validation of outputs remains essential (Antoniadis, 2024).

    Organisations commonly use tools such as MS Project, Jira, Asana or bespoke dashboards to monitor schedule health. Limitations arise when data is manual, inconsistent or fragmented. AI can reduce these issues by automating data capture, validating schedule logic and scanning for anomalies (Khan, 2025; Salimimoghadam et al., 2025). However, AI outputs may be erroneous when datasets are incomplete or networks complex, which reinforces the need for governance safeguards and human review (Antoniadis, 2024; Geraldi et al., 2024).

    Critical Path Analysis identifies activities that determine the minimum project duration. AI supports CPA by predicting delays, analysing historical patterns and modelling scenarios, helping managers prioritise interventions (Khan, 2025; Salimimoghadam et al., 2025). Case evidence also shows that AI‑generated CPA can contain logical errors when relying solely on textual prompts, so expert verification is required (Antoniadis, 2024).

    Information management underpins schedule accuracy. Poor data quality leads to unreliable reporting. AI improves information quality through automated cleansing, de‑duplication and classification, while ethical practice protects confidentiality and integrity (Geraldi et al., 2024).
  6. The role of the PMO and AI‑enabled support
    The PMO provides standards, assurance and portfolio visibility. AI enhances PMO capability by identifying cross‑project risks, generating dashboards and supporting lessons‑learned reviews, provided that human judgement interprets results and maintains accountability (Araya Aliaga, Mariani and Mancini, 2025; Geraldi et al., 2024).
  7. Applying schedule management techniques in practice
    Integrate governance, Gantt charts, critical path analysis and digital monitoring. Layer AI to improve forecasting, analyse patterns and highlight risk clusters (Salimimoghadam et al., 2025). When a project goes off track, re‑baseline schedules, communicate with stakeholders, adjust resources and use AI modelling to understand downstream impacts, all within agreed governance controls (Araya Aliaga, Mariani and Mancini, 2025).
